If your document is created with Adobe InDesign CS, you can easily perform a procedure that will gather all the necessary information in one step.

1) File > Package
2) Fill in appropriate Printing Instructions > Continue
3) Make sure "Copy Fonts" and "Copy Linked Graphics" are both checked
4) Package
